Reports

Reporting is a key part of monitoring the order history and summary of an organization. This section takes you through the steps you need to perform in order to generate various reports. The following sections will guide you to manage your reports more effectively:

Generate Reports

To generate a report, do the following:
  1. Navigate to Reports > Reports page. The Report page is displayed.
  2. Select the report you want to generate from the report name drop-down list. You can specify the following report options:
    Field Name Description
    Date Range Select one of the following:
    • Month: Generates reports for a specific month of the year.
    • Year: Generates reports for a specific year.
    • Date: Click the Calendar icon to select the start and end dates.
  3. Click Show Results. The report is displayed in the selected format.
To re-organize the layout, or use the report information in another application, click Export to CSV. When prompted, save the file on your computer.
Note: Saving files as comma separated value (.cvs) files in Internet Explorer browser causes reports to generate incorrectly.

If you generate a report and open the csv file in Internet Explorer, company information such as Company Name or Service Name that has a comma in the name is treated as a column delimiter and the report columns will be created incorrectly.

To avoid this problem, do not open the file in Internet Explorer. Save the file outside the browser, open Excel and review your report data.
Note: As the product supports multiple time zones and date formats, the generated reports are according to the users’ (who is generating the reports) time zone and date format.

List of Available Reports

Reports within store are categorized based on user requirement. This section lists the reports that are available within each report are available.

The following reports are available:

  • Order Summary
  • Saved Orders due for Service Activation
  • Order History
  • Role History
  • User Service Access Report
  • Console Login Report
  • Order Service Subscriptions (Increase/Decrease Quantities)
  • Services Provisioning

Custom Reports

The custom reports gives you an option to create a report of your own. You can create report based on different data marts.
Note: The current release of JSDN offers you only Daily Consumption Details Report and Order Information Report. Refer to Daily Consumption Detail Report and Order Information Report sections for more information.

You can create custom reports using the available datamarts. Custom reports use the queries to extract data from the data marts to render to the report datamart. The supported datamarts are listed below:

Daily Consumption Detail Report

Each of these datamarts have its on importance and they are useful for creating custom reports. Among these datamarts, the daily consumption details datamart deserve a special mention. The Daily Consumption Details datamart allows you to select various fields/columns that you want to focus/to be included in the report. Using the fields available in the datamart, you can generate various combinations of data in the report. The Daily Consumption Report acts as a MIS report and provides managers with tools to organize evaluate and efficiently manage the IT cost of an organization.

For example, you can generate a report that contains account (linked) wide usage for service offers for each day. You can evaluate cost trends of various departments using tags. You can also calculate how much the organization has spent for each vendor’s services. These are just few examples. The benefits that the daily consumption reporting data can do is tremendous. It pretty much encompasses every detail regarding the service offer transactions with a focus on daily consumption.

Order Information Report

The Order Information datamart report is a collection of all the attributes associated to a particular order. This datamart contains detailed information about who and when the order was placed, who and when it was fulfilled and approved by. In addition to this it also provides information about which dealer, which organization, which store, which marketplace this order was placed from.

Create Custom Report

To create a custom report, do the following:
  1. Navigate to Reports > Customer Reports page. The Custom Report List page is displayed.
  2. On the Custom Report List age, click the Add Custom Report icon, the Add Customer Report page is displayed.
  3. On the Add Custom Report page, enter the field information as described in the table below:
    Field Name Description
    Custom Report Name Type a unique name for your custom report.
    Custom Report Description Type short description for your custom report.
    Choose Data Mart Select the data mart from the drop-down list.
    Choose Column Select the type of fields that you want to have in your report. The same will be displayed under selected column list.
  4. Click Save Report Template, to save as report template.

    OR

  5. Click Generate Reports, based on your selection the report will be generated.

Generate Custom Reports

To generate a custom report, do the following:
  1. Navigate to Reports > Customer Reports page. The Custom Report List page is displayed.
  2. On the Custom Report List page, find the report you want to generate and click the Run link from the Actions column. You can specify the following report options:
    Field Name Description
    Date Range Select one of the following:
    • Month: Generate reports for a specific month in the current year.
    • Year: Generate reports for a specific year.
    • Custom: Click the Calendar icon to select the start and end dates. To generate reports for a specific date range.
    Show Report Result Select either HTML or CSV as your output option.
  3. The report is displayed in the selected format.

To re-organize the layout, or use the report information in another application, click Export to CSV. When prompted, save the file on your computer.

  • If you generate a report and open the .csv file in Internet Explorer, company information such as Company Name or Service Name that has a comma in the name is treated as a column delimiter and the report columns will be created improperly.
  • To avoid this problem, do not open the file in Internet Explorer. Save the file outside the browser, open Excel and review you report data.
Note: As the product supports multiple time zones and date formats, the generated reports are based on the user’s (who is generating the reports) time zone and date format. The currencies displayed in the reports are the currency supported at the store level.

Offline Report

The Offline Report Request feature gives you an option to download reports. When you try to execute or run any report and if that report has more than 1000 rows, or beyond date range (these settings are defined by your administrator). Such reports won’t be displayed on screen rather it will be listed in Offline Request Reports page. Once the report is available in Requested Reports List page, you will receive an email notification, then you can download the report. These reports will be in .csv format. If due to some reason the report fails, then you have to execute the same once again. Please note you cannot download failed reports.

Download Requested Report

To download requested report, do the following:
  1. Navigate to Reports > Offline Reports page. The Requested Reports List page is displayed.
  2. On the Reported Reports List page, you can download the requested reports.
  3. Click the Download Report icon, the report will be downloaded in .csv format.
